Job Description

Position Summary:

The Accounts Payable Specialist will be responsible for managing the full-cycle accounts payable process, ensuring timely and accurate processing of vendor invoices, employee reimbursements, and corporate expenses. This position will collaborate closely with the accounting, purchasing, and operations teams to maintain smooth financial operations and uphold strong internal controls.


Key Responsibilities:

  • Process and code vendor invoices accurately and efficiently, ensuring proper approval and GL coding.

  • Prepare weekly and monthly check runs, ACH, and wire payments in accordance with company policies.

  • Reconcile vendor statements, resolve discrepancies, and maintain positive vendor relationships.

  • Support month-end and year-end close by preparing AP accruals and related journal entries.

  • Maintain accurate and organized AP files and documentation for audit purposes.

  • Ensure compliance with company policies, IRS 1099 reporting requirements, and internal control standards.

  • Assist with expense report audits and employee reimbursements.

  • Collaborate with cross-functional teams to improve AP workflows and system efficiencies.

  • Participate in process improvement initiatives and accounting system implementations as needed.


Qualifications:

  • Education: Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.

  • Experience: 2-5 years of hands-on Accounts Payable experience; multi-entity or corporate environment a plus.

  • Technical Skills: Proficiency in ERP systems (such as NetSuite, SAP, or QuickBooks) and Microsoft Excel (pivot tables, VLOOKUP).

  • Strong understanding of GAAP and AP best practices.

  • Excellent organizational and time management skills with the ability to handle high-volume processing.

  • Strong attention to detail and problem-solving abilities.

  • Effective communication and interpersonal skills.
