Job Description

We are seeking an experienced and detail-oriented Payroll Specialist with a strong background in managing union payroll. The ideal candidate will have a thorough understanding of payroll processes, labor laws, and union agreements. This role will be responsible for accurately processing payroll for all employees, including those covered by union contracts, ensuring compliance with federal, state, and local regulations.

Key Responsibilities:
  • Payroll Processing: Accurately process bi-weekly, semi-monthly, or monthly payroll for all employees, including calculating wages, overtime, bonuses, deductions, and ensuring all payroll transactions are processed efficiently and on time.
  • Union Payroll Management: Manage payroll for union employees, ensuring compliance with collective bargaining agreements (CBAs), and handling union-specific payroll requirements such as dues, fringe benefits, and other deductions.
  • Timekeeping and Attendance: Maintain and verify timekeeping records and systems to ensure accurate tracking of employee hours, including overtime and paid time off (PTO) for both non-union and union employees.
  • Compliance: Ensure payroll practices comply with federal, state, and local laws, as well as union contracts, including tax reporting, garnishments, and other deductions.
  • Reporting: Prepare and distribute detailed payroll reports, including labor distribution, payroll reconciliation, and tax filing reports. Assist in the preparation of periodic internal and external audits.
  • Employee Support: Serve as a point of contact for employee payroll inquiries, resolving any discrepancies or issues related to pay, and providing exceptional customer service.
  • System Maintenance: Assist with the maintenance and updating of payroll systems and records, ensuring data integrity and security.
  • Collaboration: Work closely with Human Resources, Finance, and other departments to ensure accurate and timely payroll processing and to resolve any payroll-related issues.
Qualifications:
  • Education: Associate's degree in Accounting, Finance, Business Administration, or a related field. A Bachelor's degree is preferred.
  • Experience: Minimum of 3-5 years of payroll processing experience, with at least 2 years specifically managing union payroll.
  • Certifications: Certified Payroll Professional (CPP) designation is preferred.
  • Skills:
    • Strong understanding of payroll practices and labor laws, including FLSA, FMLA, and other relevant regulations.
    • Proficiency in payroll software and systems, such as ADP, Paychex, or similar platforms.
