Summary:

The primary purpose of The Business Office Manager is to direct the overall payroll and administrative activities and to assist in the day-to-day accounting functions of the facility in accordance with current applicable federal, state, and local standards, guidelines and regulations.

Duties:

Payroll Functions

  • In-House payroll processing to include maintenance of employee records, processing time cards, paychecks, computation of federal and state payroll taxes, miscellaneous deductions, etc., as directed.
  • Perform duties relative to the facility's overall payroll function and assume the administrative authority, responsibility, and accountability of direction payroll functions
  • Maintain appropriate W-4 Tax Records and all I-9 verifications for each employee
  • Maintain payroll deduction authorization records for each individual employee
  • Prepare payroll check in accordance with current pay periods to assure that employee checks are received on a timely basis
  • Verify work schedules against time cards when necessary, and maintain time cards in accordance with current regulations.
  • Code checks with appropriate department number to assure that salary and wage expenses are distributed to the correct department.
  • Communicate with department directors/supervisors concerning payroll matters. ......... RE level
  • Record payroll information on the employee's individual wage record
  • Balance payroll reports at the end of each pay period
  • Maintain a record of all deductions to be deducted from each employee's paycheck
  • Prepare payroll records for all newly hired employees
  • Remove terminated employee's records from the active employment records.
  • Report unemployment data to TALX as directed
  • Send payroll checks to personnel no longer employed
  • Assist employees in obtaining information concerning their paycheck, deductions, overtime, etc., as necessary.
  • Assist in preparing payroll, time sheets, etc., as directed.
  • Oversee facility benefits programs, including monthly reconciliation of billings and deduction reports, as well as monthly presentations and open

Administrative Functions

  • Assist in planning, developing, organizing, implementing, evaluation, and directing of the administrative office policies and procedures, and assure that all office personnel follow established policies and procedures.
  • Develop and maintain a good working rapport with inter-department personnel, as well as other departments within the facility, to assure that administrative services and activities can be properly maintained to meet the needs of the facility
  • Consult with department supervisors concerning their administrative needs, and other related areas, to assist in eliminating/correcting problem areas, and/or improvement of services
  • Maintain accurate and appropriate filing system for personnel files and resident clerical records.
  • Oversee fingerprint clearances, transfers, and exemptions for facility
  • Accumulate, maintain and provide statistical data as directed.
  • Establish discharge procedures, maintenance of records, release of information, etc.
  • Make written and oral reports/recommendations to the Administrator/Executive Director concerning administrative, accounting, and payroll functions.
  • Assure that the office is maintained in a clean and safe manner and that necessary equipment and adequate office supplies are maintained to meet the day-to-day operational needs of the facility.
