Job Description

ResponsibilitiesEstablish and maintain relationships with new and existing vendors; handle all inquiries and payment trackingSet up, record, and pay vendor invoices via ACH transactions in a timely mannerProcess conference participants' and speakers' stipends and travel reimbursementsMaintain vendor profiles as needed including collecting W-9 forms and other documentation via DocusignPrepare annual 1099 statementsProcess monthly Fellowship and staff billing for miscellaneous chargesProcess credit cards paymentsPrepare bank deposits and general ledger postingsReconcile and ensure accuracy of bank statementProcess bi-monthly payroll data entry and complete withholding reconciliationsResponsible for ordering supplies for staff and FellowsManage the Center's promotional inventoryRecord monthly staff credit card transactionsAssist with annual audit analysis and data requestsPerform other duties as assigned including administrative support to other programs as time permitsQualificationsmust be well-organized, accurate and attentive to detailsAssociate's degree or higher, or comparable work experienceSolid data entry and word processing skillsexperience with spreadsheets and financial reportsProficient in Microsoft Office, Google Workspace, and Cloud-based storage solutions, with aptitude to learn new software and systemsAbility to multi-task on many different projects and be highly self-motivatedExceptional verbal and written communication and time management skills with a customer service mindset
