Job Description

Location: Lexington, MA (Hybrid)
Total Compensation: Base Salary plus New HIre Equity and Bonus 
Reports to: Senior Accounting Manager
Primary Responsibilities

  • Maintain AP email inbox, timely route invoices to appropriate approver(s), and follow through on each to ensure timely and accurate completion.
  • Timely respond to invoice/payment inquiries from internal and external stakeholders.
  • Maintain vendor records in the ERP, setting up new accounts (credit terms, category, etc.). Maintain up-to-date W-9 forms, identifying 1099 vendors and updating them in the ERP.
  • Enter approved invoices in the ERP timely and accurately, ensuring appropriate G/L coding, due date, documentation, and approvals in accordance with the company's policies and
  • Process weekly vendor payments including check run, ACH and wire payments.
  • Review expense reports in Expensify; process and record weekly reimbursements in accordance with the company's policies.
  • Monitor, record and reconcile company's credit card transactions.
  • Support management by preparing and distributing weekly financial reports.
  • Maintain purchase orders in the ERP, closely collaborating with other departments.
  • Assist with the preparation and filing of annual compliance requirements such as 1099 and MA use tax filings.
  • Support the Sr. Accounting Manager in annual audits and quarterly reviews.
  • Manage monthly Accounts Payable KPI and contribute to process improvements.
  • Prepare and process payroll, completing related filings and generating reports as needed.
  • Take a progressive role in future system implementations, including ERP, payroll and HRIS systems.
Professional Work Experience
  • 2+ years of experience in accounts payable
  • Payroll experience a plus
  • Experience in biotech, pharmaceutical and/or medical device industries
  • Prior vocational experience in related fields a plus (i.e., Co-Ops, Internships, Fellowships, ).
Qualifications and Skills
  • Experience with accrual-based accounting and general understanding of US GAAP
  • Excellent computer skills (i.e., MS Office Suite)
  • Experience with MS Dynamics 365 a plus
  • Hands on working experience with HR/Payroll systems (ADP Workforce Now or similar) a plus
