Job Description


Reporting to the Controller, the Bookkeeper is an essential part of the organization and executes the mission and vision of the agency in collaboration with the senior leaders and staff.


The Bookkeeper is responsible for providing fiscal support, including but not limited to the following job responsibilities


  • Provide support to all aspects of the Accounting Department
  • Provide statistical and qualitative information for regular fiscal reports
  • Provide accurate data entry for Accounts Payable and Journal Entries
  • Follow proper coding of source document entries with a high level of accuracy
  • Prepare and Enter Share of Cost Allocation
  • Notify senior staff of any accounting errors
  • Maintain GAAP Compliance
  • Pay invoices by verifying transaction information; scheduling and preparing disbursements; obtaining authorization for payment
  • Run Fiscal Reports as Requested
  • Maintain Accounting Files both paper and electronic
  • Maintains Fixed Asset Records
  • Participate in staff meetings, trainings, and organizational planning
  • Attend supervision meetings
  • Maintain positive working relationships with other departments, resolve conflict in a positive and effective manner
  • Payroll processing to include but not limited to:
    • Verification of timecards
    • Payroll entries in accounting software
    • Communicate with staff and directors when necessary
    • Distribute Checks
    • Maintain Employee Payroll Files
    • Payroll Tax compliance
    • Calculate benefit withholding amounts
    • Communicate with payroll vendor when necessary
  • Deposit Payments from Accounts Receivable, Donations, and Rent
  • Maintain Property Files including lease agreements and rent rolls
  • Reconcile bank accounts
  • Compile source documents for audits
  • Prepare reports for monthly grant billing

  • 1 year experience in accounting, administration, and QuickBooks
  • Must be at least 18 years old
  • Must be able to legally work in the United States
  • Must possess a valid California Driver's License and have access to reliable transportation
  • Experience with QuickBooks, Windows based systems, Microsoft Office Suite and Internet
  • Excellent organization skills, prioritization and follow through

  • AA in Accounting

  • High School Diploma and 2 Years of Experience in accounts payable and payroll

  • Combination of Education and Experience to equal 2 years
  • One-year recent experience with QuickBooks software program


This is a non-exempt position with a set schedule Monday - Friday. Hours are subject to change. Some evenings/weekends will be required.


Ability to effectively communicate in the English language information and ideas so others will understand you by telephone, in written form, e-mail, and/or in person as well as the ability to read and interpret documents is required.

  • Ability to perform basic mathematical calculations (add, subtract, multiply and divide). 
  • Proficient knowledge of Microsoft Excel is required.

  • Ability to be extremely flexible and prioritize tasks effectively
  • Ability to pay attention to details under stressful conditions
  • Ability to develop and execute specific goals
